Shifts

A shift says when someone is expected to work and whether they must be at a work location. Each employee is on one shift at a time.

Open Settings, then Shifts. Admins and the owner can add and edit shifts. Managers can see the list.

  1. Select New shift and enter a Name.
  2. Under Hours, choose Set hours or Flexible hours.
  3. Under Location, choose Must be at a work location or Any location.
  4. Select Create shift.

To change a shift later, open its menu (⋯) and select Edit. Changes apply from now on. Hours already recorded keep the rules they were clocked under.

For a shift with fixed start and finish times.

  • Starts and Finishes. If the finish is earlier than the start, the shift finishes the next day. A night shift belongs to the day it starts on.
  • Work days. Tick at least one. On other days the employee shows as Day off on Today.
  • Four allowances, in minutes. Each starts at 5.
Allowance Outside it, the hours are flagged
Late arrival allowed (minutes) Late
Early clock-in allowed (minutes) Early in
Early leaving allowed (minutes) Left early
Late clock-out allowed (minutes) Late out

A clock exactly on the limit is not flagged. With a start of 08:00 and 5 minutes allowed, 08:05 is on time and 08:06 is Late.

Flagged hours do not count towards pay until someone signs them off. See Attendance.

For work with no set times, such as drivers or on-call staff.

  • Nobody is late or early, and the employee is never listed as Not clocked in.
  • Every day worked is flagged Flexible shift and needs a sign-off before it counts.
Choice What it means
Must be at a work location Clocking in or out anywhere else is refused.
Any location Location is recorded but not checked. A clock outside every location is flagged Off site and needs a sign-off.

Changing a shift to Any location lets everyone on it clock in from anywhere. Darg asks you to confirm.

A clock out follows the rule that applied when the person clocked in.

If someone clocks in and never clocks out, the shift is flagged No clock-out after a limit:

  • Set hours: minutes after the planned finish. The default is 240 (4 hours).
  • Flexible hours: minutes after clocking in. The default is 960 (16 hours) and the minimum is 480 (8 hours). Allow for the longest day someone might work.

Until the limit passes, the employee is still clocked in and cannot clock in again. After it, they can. To fix the day, add the clock-out. See Attendance.

One shift is marked Default. It is used when an invitation has no shift. To change it, open another shift’s menu (⋯) and select Make default.

Open the shift’s menu (⋯) and select Archive. To use it again, select Bring back.

You cannot archive the default shift, or a shift people are still on. Move them to another shift first.

Managers, admins and the owner can assign shifts.

  1. Open Employees.
  2. Open the person’s menu (⋯) and select Assign a shift.
  3. Choose the Shift.
  4. Under Takes effect, choose Straight away or From a date and time.
  5. Select Assign shift.

To move several people at once, tick them in the list and select Assign shift to … selected. If one of them cannot be moved, nobody is moved.

You can also choose No shift. The person is not expected to clock in. If they do, they must be at a work location, and the hours are flagged Not rostered and need a sign-off before they count.
