Leave
Employees request leave in the app. You approve or decline it on the web. Darg records the leave. It does not keep leave balances.
List and Calendar
Section titled “List and Calendar”Leave has two views, List and Calendar, side by side under the heading. Both can be narrowed by Status and Employee. Select Clear filters to start again.
List shows every request as a row, with the Employee, Type, When, Status and Reason. Set From and To to look at a range. Select a row to open it.
Calendar shows who is away on which days, one row per employee. Use it to see who else is off before you approve a request.
- Choose 2 weeks or Month. Use the arrows to move, and Today to come back.
- Approved leave is a solid bar. Waiting leave is a striped bar with a dashed edge. The Away row at the bottom counts how many people are off each day.
- Only approved and waiting leave is drawn, so Status offers just those two.
- Select a bar to open the request. You get the same Approve, Decline, Cancel leave and History as in the list, or words saying who can act when you cannot.
- Select an empty day in an employee’s row to add leave for them. The form opens with that employee and that day already filled in. See Add leave for someone.
Leave types
Section titled “Leave types”Open Settings, then Leave types. Admins and the owner can change them.
A new organisation starts with Annual leave, Sick leave and Unpaid leave.
- To add one, enter a name under Add a leave type and select Add.
- To change one, open its menu (⋯) and select Rename.
- To stop offering one, select Archive. Leave already filed under it stays. Restore brings it back.
Answer a request
Section titled “Answer a request”Open Leave. The number beside Leave in the sidebar is how many requests are waiting.
- Approve approves the request.
- Decline asks for a Note. It is required, and the employee sees it.
When you cannot answer a request, the row shows who can instead of the buttons, for example Needs a manager or Needs the owner. This happens when the request belongs to someone at or above your role, or when it is your own. An admin can decide the owner’s leave.
The owner can approve or decline their own leave. Both ask for a Note.
Supervisors see requests from people on the shifts they supervise.
Add leave for someone
Section titled “Add leave for someone”- Select Add leave.
- Choose the Employee and the Leave type.
- Enter the First day and Last day. For a few hours only, tick Part of a day and enter the times.
- Add a Reason if you like, then select Add leave.
The request still needs approval, in the same way as one from the app.
A person cannot have two requests that overlap. Cancel the first, or choose different dates.
Cancel leave
Section titled “Cancel leave”Open the request’s menu (⋯) and select Cancel leave. You can cancel a request that is waiting or already approved.
Cancelling approved leave brings back any Late or Left early flags it covered. Those hours may need a sign-off again.
History, in the same menu, shows who filed, approved, declined or cancelled the request, and when.
Leave in a closed pay period
Section titled “Leave in a closed pay period”If any day of a request is in a closed pay period, the request cannot change. A lock shows beside its dates in the list. Pay period closed stands where Approve and Decline would be, and Cancel leave is gone. Adding leave for those days says This pay period is closed.
Status
Section titled “Status”| Status | What it means |
|---|---|
| Waiting | Nobody has answered yet. |
| Approved | Counts as leave. |
| Declined | Refused, with a note. |
| Cancelled | Withdrawn by the employee or cancelled by a manager. |
What leave does to attendance
Section titled “What leave does to attendance”Only approved leave changes anything. It is applied whenever attendance is shown, so it works the same whether it was approved before or after the day.
| The leave covers | What happens |
|---|---|
| The whole shift | The person shows On leave on Today and is not counted as Not clocked in. |
| The start of the shift | They are expected when the leave ends. Arriving then is not Late. |
| The end of the shift | They are expected until the leave starts. Leaving then is not Left early. |
| A few hours in the middle | Nothing changes. If they clock out and back in, each part is judged in the usual way. |
If someone works during approved leave, the hours are flagged Worked during leave, or Worked on a leave day when the leave covered the whole shift. They need a sign-off before they count. The shift’s early and late allowances still apply at the edge of the leave.
A shift with flexible hours has no expected times, so leave moves nothing there. Leave for the whole day still shows On leave on Today, and hours worked inside approved leave are still flagged Worked during leave.
Leave and payroll
Section titled “Leave and payroll”A payroll export is refused while a request covering a day in the range is still Waiting. Approve, decline or cancel it first. See Export.
Leave itself is not listed in the export. The file contains the hours people worked.
