Employees and roles
Open Employees. Managers, admins and the owner can use this page.
| Role | Uses | Can do |
|---|---|---|
| Employee | The app | Clock in and out, see their timesheet, request leave. |
| Supervisor | App and web | See Today, Attendance and Leave for the shifts they supervise. Sign off hours, add records, answer leave, export for review. |
| Manager | App and web | The same for everyone. Invite and manage employees, assign shifts, export for payroll. |
| Admin | App and web | Everything a manager can, plus locations, shifts, leave types, attendance rules, closing and reopening pay periods, organisation profile, subscription and the audit trail. |
| Owner | App and web | Everything an admin can, plus transfer ownership. There is one owner. |
Two rules apply to every role:
- You can invite, edit and deactivate only people below your own role.
- You cannot change your own role or details.
Everyone clocks in with the app, whatever their role.
Invite an employee
Section titled “Invite an employee”- Select Invite employee.
- Enter their Name.
- Enter their Email address, their Mobile number, or both. One is enough.
- Choose a Role and a Shift. With No shift yet, they get the default shift when they join.
- Select Send invitation.
Darg emails or texts the person, whichever you entered. The message says who invited them and to which organisation, and tells them to install the app and create an account with the same email address or mobile number. It has no link to follow. See Get started for employees.
The person appears in the list as Invited, with the date the invitation expires. An invitation lasts 30 days.
Join automatically at first sign-in: tick this and the person joins as soon as they sign in. If it is off, they accept the invitation in the app first.
Darg texts Australian mobile numbers only. A landline or a number from another country is refused, and the form says We cannot send a text message to this number. Use an email address instead. If you enter an email address as well, the invitation still goes by email.
If the message did not arrive, open the invitation’s menu (⋯) and select Send again. You can send the same invitation again once every 5 minutes.
To withdraw an invitation, open its menu (⋯) and select Revoke.
Someone who already belongs to another organisation has to leave it before they can join yours.
Supervisors
Section titled “Supervisors”A supervisor sees only the people on the shifts they supervise. A supervisor with no shifts sees nobody.
- Open Employees and select the supervisor’s name.
- Under Supervises, choose a shift in Add a shift and select Add.
To take a shift away, select Remove beside it.
When you change someone’s role to Supervisor, Darg asks you to choose their shifts straight away. The Employees page warns you about any supervisor with no shifts.
Edit an employee
Section titled “Edit an employee”Open the person’s menu (⋯) and select Edit details. You can change their Name, Employee ID (optional) and Role.
The employee ID appears in exports, so use the number your payroll uses.
To change their shift, see Assign a shift to an employee.
New sign-in details
Section titled “New sign-in details”For an employee who has lost the email or mobile number they sign in with and cannot reset their password. They keep their record: timesheet, hours, leave, role and shift. Admins and the owner can do this.
- In Employees, select the person to open their page, then open the menu (⋯) at the top and select New sign-in details.
- Enter a New email address, a New mobile number, or both. One is enough. It has to be one that has never been used with Darg, and a mobile number has to be an Australian one.
- Select Send.
Darg emails or texts the new address or number. It also emails or texts the address or number the person signs in with today to say their sign-in is being changed.
The person creates a new account with the new email address or mobile number and accepts the invitation in the app. See You cannot get into your account.
Until they accept, nothing changes and their row shows New sign-in sent. To take it back, open their page, then the menu (⋯), and select Cancel new sign-in. It expires after 30 days.
Once they accept, their old sign-in can no longer open your organisation.
You cannot do this for yourself or for the owner.
Do not deactivate the person and invite them again. That starts a new record without their hours and leave.
When someone leaves
Section titled “When someone leaves”- Open the person’s menu (⋯) and select Deactivate….
- Confirm.
They can no longer clock in or sign in to your organisation. Their records stay. Their status becomes Deactivated, and they stop counting towards your bill.
An employee can also leave from the app. Their status becomes Left.
To see people who have gone, change the filter from Active employees to Former employees or All employees.
To bring someone back, invite them again.
The owner
Section titled “The owner”The owner’s role cannot be edited here. To hand the organisation to someone else, see Organisation settings.
